Kingston Branch Executive Meeting #4 - September 2, 2025

1. Call to Order
The meeting was called to order at 6:45 PM.
2. Last Meeting Follow-Up
- BBQ: Cancelled due to City of Kingston rental requirements (insurance modification, lottery license restrictions, no private space, no ground fixtures).
- Swag: Ordered and distributed photos. Items include glasses, umbrellas, USB keys, and chocolates.
- Ordered from Vinyl Freak Designs (local small business).
- Honey jars and gift baskets ordered from Maplescapes Farm (local business).
- Potential future swag: woodworking by Mark (CSC ORP).
3. New Business
a. Kingston Labour Day Parade
Successful event.
Labour Council requested peppers for attendees; leftovers were donated.
The Branch will participate annually with more Executive support in future.
Funding to be allocated and Better Together funding to be requested for next year.
Raffle basket tickets distributed to members who attended; draw to be held at the Raxx event.
b. Raxx – September 30, 2025: Member Appreciation Event
19 RSVPs to date.
Better Together funding approved for food.
Food: Platters serving 10 ($XXX each). Gary to send prior food list to Leasha.
Guest sign-in: raffle tickets for gift baskets (to be assembled).
Swag: one new item per guest.
Event tab to be paid by Billie/Leasha.
Budget: Approx. $XXXX.XX
c. Christmas Party – November 23, 2025 (12:00–3:00 PM)
Family-friendly event in partnership with SH, IT, and SCC groups.
Decorations: Leasha to bring a tree; Cindy to bring two ornamental trees.
Gifts: $XX per child (approx. 20 children). RSVP required; list of popular gifts to be compiled by age group.
Location: TBD (Legion suggested).
- Activities: cookie decorating/colouring (Bulk Barn kits), hot chocolate bar.
- Catering: subs or pizza.
- Music: speakers & iPods.
- Volunteers: high school students (community service hours).
- Budget: approx. $X,XXX
- Fundraising: raffle baskets with proceeds to the Food Bank; non-perishable food donations encouraged.
d. Upcoming Events / To-Do
Meet & Greet – Brockville
Target date: weekend of October 24.
- Cindy and Rob to contact local pubs for availability.
- Leasha to draft email invite for PIPSC distribution once details confirmed.
- Capacity: max 15 guests, with priority to members east of Kingston.

Wellness Fairs
Collins Bay Institution October 2, 2025, 11:00am - 1:00pm - Better Together Funded
Millhaven Institution - Beginning of October - Jessica Whidden to apply for Better Together funding, Branch to provide funds upfront and reimbursement to Branch from Better Together - Jessica to inform Leasha once approved
Steward Appreciation Event – Splittsville (February): deferred to next meeting.
AGM (April/May): deferred to next meeting.
