RE Group Annual General Meeting Notice and Call for Delegates

The RE Annual General Meeting (AGM) will be held on Friday, May 3, 2019 at The Hilton Garden Inn & Homewood Suites Ottawa Downtown, 361 Queen Street from 9:00 AM to 5:00 PM (Ottawa time). Lunch and coffee breaks will be provided on site, followed by a Delegates’ dinner in the evening.

In accordance with the RE constitution, interested members are invited to apply to become voting delegates for the 2019 RE AGM. The current RE Group Executive members are automatically assigned delegation spots, but they need to fill in the Delegate application form (see hyperlink below).

Application DEADLINE: If you are interested in becoming a delegate to the RE Group AGM, please complete the following online RE Delegate AGM Registration Form before March 27, 2019 at 4:00 p.m. (Ottawa time).

The Delegate Selection Committee will make the final determination based on geographical quotas to ensure fair regional representation.

SUB-GROUP PRESIDENTS’ MEETING, MAY 4, 2019

"Each Sub-Group is entitled to one representative at the Sub-Group Presidents' meeting on Friday, May 4, 2019.  Presidents may specify an alternate if they are not attending, or if they are already attending as a member of the RE Group Executive. For AGM delegates who are travelling far distances and are not associated with a Sub-Group, the Executive will consider individual requests to stay the extra day to participate in the Sub-Group Presidents' meeting."

If you wish to attend the Sub-Group Presidents’ meeting, please indicate your intention on the online RE Delegate AGM Registration Form before March 27, 2019 at 4:00 p.m. (Ottawa time).

All expenses (meals, accommodation, travel, etc.) will be covered for confirmed delegates. Members of the Group not selected as delegates may attend and speak at the AGM as Observers, however only delegates are eligible to vote as well as to move and second motions. Furthermore, members who are not delegates will have to cover their own expenses.

Proposals for Amendments and Motions

Proposals for amendments to the Group by-laws must be received in writing no less than 45 days prior to the AGM. Please forward any proposed by-law amendments to afournier@pipsc.ca and mmacleod@pipsc.ca before 1:00 p.m. (Ottawa time) on March 19st, 2019.

It would also be appreciated if any other motions to be proposed be submitted to the same addressees at least four weeks prior to the meeting (April 6th), to enable translation.
